  • 1. WHAT IS THE WINESIDER?

    The Winesider is your dream wine cellar on consignment. The Winesider is the first Italian company that offers the management of your wine cellar on consignment, thanks to its innovative and unique digital platform.

  • 2. HOW DOES IT WORK?

    1. Once the contract has been signed, you can design your own wine list, helped by your The Winesider’s consultant.
    2. Once you receive the goods and your credentials to access your personal area, download from the app the bottles that you have sold on The Winesider platform.
    3. Relax and use the time you save in managing your wine cellar and dedicate your time to your staff, your restaurant, and your clients! The Winesider will take care of the replenishment, the payment and the delivery of the products.

  • 3. TO WHOM IS IT ADDRESSED?

    The Winesider is a service dedicated only to high quality restaurants that meet these requirements: - Average price > 35€ - Number of bottles per day > =10 - Number of covers > 40

  • 4. HOW MUCH DOES THE WINESIDER COST?

    The Winesider does not cost a thing! But the restaurateur must stock up exclusively from The Winesider. The wines’ prices are slightly higher than the producers’ sales catalogue prices. Thanks to our services (no fixed assets, no risk of unsold items, no need to manage orders and taking care of inventory, warehouse’s space optimization), you will extensively compensate the prices’ gap differences.

  • 5. HOW DO I CREATE MY WINE LIST?

    Once you have signed the contract, our consultant will contact you in order to establish together with you, the wine list based on your menu, your clientele and your restaurant’s style.

  • 6. HOW OFTEN CAN I CHANGE MY WINE LIST?

    Generally the wine lists are revised before winter (winter season) and summer (summer season), but you will be fully supported by our sales consultants who will help you if you want to modify your wine list.

  • 7. HOW MANY STAFF TRAINING DO YOU OFFER?

    The Winesider offers both trainings and digital contents (always available on our app). Therefore the staff is updated in real time on wine producers’ backgrounds and histories. There are no precise rules about staff trainings; they are usually planned on staff needs. 

  • THE CONTRACT

  • 8. WHAT DOES THE CONTRACT REGULATE?

    The contract regulates the agreement between The Winesider and the restaurateur regarding the services offered by The Winesider. More specifically the contract deals with the consignment management, operational processes, payments, billings, restaurateurs’ requirements and duties, The Winesider’s services, supplies’ exclusivity and duration of the contract. The contract also regulates the standard conditions of the Italian law.

  • 9. WHAT IS THE TIME LIMIT FOR THE PAYMENT OR RETURN OF THE GOODS?

    The goods delivered to the restaurateur will have to be sold within one year since the delivery. In default Excantia will have to bill and charge the goods, in accordance with the Rule 6 dpr n. 633/72. The Restaurateur can spontaneously return the goods to Excantia, at his/her own expense, before the time limit fixed. The goods must be properly packaged in order to reach their destination in proper condition, as they were delivered. If the goods are not properly packaged, Excantia will charge to the client the packaging and storage cost.

  • 10. HOW LONG IS THE CONTRACT?

    The duration of the contract is 36 months, starting from its subscription and it can be tacitly renewed for the same period of time. Both parties may terminate the contract beforehand, giving a period prior notice of at least 180 days.

  • 11. DO YOU APPLY PENALTIES?

    If the client terminates the contract without prior period of notice, he/she must immediately pay or return (at his/her own expense) to The Winesider the bottles in his/her cellar. Furthermore as penalty, the client must pay the economic value of the cellar.

  • 12. DOES THE WINESIDER REQUEST A MINIMUM ORDER QUANTITY OF WINE BOTTLES?

    The Winesider does not require a minimum order quantity. Thanks to The Winesider technology, the wine cellar is automatically restocked depending on the restaurant’s consumption and the deliveries are just in time. The method allows to minimize the storage space and to save time on orders, inventories and meetings with suppliers. 

  • 13. IS IT TRUE THAT THERE IS AN EXCLUSIVITY CLAUSE?

    Yes it is true. In addition to the bottles that we supply, we offer a huge range of different services. We explore Italian’s wine cellars aiming to find hidden treasures of our enological panorama. Starting from your menu, we build together with you, the Sommelier World Champion Luca Gardini and our team of consultants, your own wine list. We train your service staff, we offer your clients a unique new experience thanks to our “digital wine list”, we supervise your warehouse and through our Cloud platform we replenish and deliver the goods without the need for orders by the clients and we request the payment only once the bottles have been sold. We are able to offer you all these services for free only if the number of bottles purchased is high enough, so that the bottles bought by the clients can repay the elevated cost sustained by The Winesider.   

  • 14. I WOULD LIKE TO AVAIL MYSELF OF THE SERVICES OF THE WINESIDER BUT I WANT TO CONTINUE TO BUY CERTAIN REFERENCES FROM ANOTHER AGENT. WHAT SHOULD I DO?

    Thanks to The Winesider, the client is choosing a new management idea, aimed at improving his/her business both in terms of quality, efficiency and cost. To make a simile it is like buying a car from a traditional car dealer or through a leasing/long term rental car. Choosing the second option, the client pays a service, indemnify for (relieving himself/herself from) the responsibility of an economic investment and management costs. 

  • 15. I WOULD LIKE TO AVAIL MYSELF OF THE SERVICES OF THE WINESIDER BUT CERTAIN REFERNCES ARE NOT ON THE CATALOGUE. WHAT SHOULD I DO?

    The WInesider catalogue is one of the widest in Italy with more than 130 producers and 1000 labels. This allows us to offer to our clients a very significant variety of references. However, if The Winesider’s offer does not match the client’s needs, the restaurateur is allowed to retrieve the reference on the market. If The Winesider will in the future add the reference to its catalogue, then this will be integrated to The Winesider’s service.

  • 16. ARE THERE ANY LIMITS IN THE NUMBER OF REFERENCES THAT THE RESTAURATEURS CAN ADD TO THEIR WINE LIST?

    There is no limit in the number of references that the Restaurateur can arrange with his/her The Winesider consultant. Nevertheless The Winesider will carry on an internal evaluation to ensure that the wine list request is congruous with the real needs of the costumer, based on the historical sales data. Moreover the Restaurateur commits to having a monthly rotation of the single references of 50% of the average bottles stored in the warehouse. Namely if the Restaurateur has six bottles of Nebbiolo stored in his/her warehouse, the Restaurateur will commit to selling at least three of them. In case this does not happen, The Winesider has the right to suspend the delivery of the specific reference and remove it from the wine list.

  • 17. WHAT ARE THE PAYMENT TIMES?

    The Winesider charge you only the bottles that have been sold. The administration weekly calculates the number of bottles sold in the previous week and it also takes care of issuing the sales invoice and direct debit payment through SDD (SEPA DIRECT DEBIT).

  • 18. WHICH DEVICES DOES THE WINESIDER’S APP SUPPORT?

    The Winesider’s app is available on all Android devices. A tablet, provided by The Winesider (loan for use), will be delivered to the restaurateur. The tablet will be used to download the bottles of wine sold through our app. You can access the app from our website (https://thewinesider.com/) and logging in.

  • 19. COME FACCIO A SCARICARE DALLA APP LE BOTTIGLIE VENDUTE?

    Once you have sold a bottle of wine, download the bottle from the DOWNLOAD page on The Winesider’s app. - Look for the wine you want to download - Select from the drop-down menu the number of sold bottles - Click on the DOWNLOAD button. Repeat the procedure for every bottle that you have sold.  In order to expedite the research of the wine, select the kind of wine (i.e. white) from the top and where does it come from (i.e. Trentino) from the right. Or alternatively, if you remember the producer’s name or the wine’s name, use the “RESEARCH” field. Always verify to check the vintage of the bottle sold, in case you have more vintages of that wine.

  • 20. I HAVE DOWNLOADED ONE OR MORE BOTTLES THAT I DID NOT WANT TO DOWNLOAD

    If an error occurred while downloading the bottles, it can be amended using the CORRECTION page.  In this page you can check the most recent download you have done. -Search for the wine you wrongly downloaded  -Select the number of bottles that you have sold -Click on the “Refresh” button

  • 21. WHAT HAPPENS IF I DO NOT DOWNLOAD THE BOTTLES?

    Downloads are useful for The WInesider platform to better manage your wine cellar’s supply. If the sold bottles are not downloaded when sold, the platform will not acknowledge the necessity to send new bottles. To ensure a punctual replenishment of bottles and in order to satisfy your necessity, we recommend you to download the bottles in the very moment you open and serve them. Doing so, you will always have your warehouse aligned with your real stock as well as your digital wine list.

  • 22. HOW CAN I FIND OUT HOW MANY BOTTLES OF ONE PARTICULAR WINE DO I HAVE LEFT?

    If you would like to know how many bottles of a specific wine are still in your restaurant, you only need to go to the “DOWNLOAD” page. Here you will be able to check the name and number of every wine that is still in your warehouse. You can see the list of wines that you have in your restaurant also going to the “Wine list” page: click here to find out more about the wine list.

  • 23. WHAT SHOULD I DO IF I NOTICE THAT THE NUMBER OF BOTTLES I ACTUALLY HAVE IN MY RESTAURANT IS DIFFERENT FROM THE NUMBER THAT I HAVE ON THE APP?

    If this happens there are two different cases:

    1. On the app the number of bottles is higher than the real amount that you have: the only thing that you have to do is download the real disparity. For example, if on the app it appears that you have five bottles of Morellino di Scansano di Poliziano, but you only have three, you can download the bottles and correct the mistake.     2. On the app the number of bottles is lower than what you really have: in this case it means that you have erroneously downloaded some bottles. 
    b.1 If you have downloaded the bottle/s short before you can amend and correct the mistake.   • 24. HOW CAN I ACCESS INFORMATION ABOUT MY RESTAURANT’S REPLENISHMENTS?

    In order to have an overview of your restaurant’s sales, you can go to the “REPLENISH” page, and click on “REPLENISH HISTORY”. Here you will find the list of orders that have been delivered to you, including details.

    If you want to check which wines are on your wine list, go to the “Wine list” page. Here you will find your wine list and information about wines:

    • What kind of wine (red/white/sparkling/sweet)
    • Region of origin
    • Price
    • Glass price: you can modify the price of one glass of wine clicking on the pencil symbol, type in the price you want to apply and click on “Save New Price”.
    • Price of the bottle: you can modify the price following the instructions given for modifying the price of a glass.
    • The mark-up that you have on that specific wine
    • The mark-up
    • The net margin
    • The stock target: this data is the number of bottles that you should always have in your restaurant
    • The number of bottles that you have of that specific wine

  • 26. HOW DO I INFORMATION ABOUT THE FILLING RATIO OF MY WAREHOUSE?

    If you want an overview of your warehouse and check the filling ratio, go on “WAREHOUSE” page. Here you can check the number of bottles that you have in your warehouse compared to the number that you have agreed upon with your The Winesider consultant. Your personal warehouse page is also arranged in types (e.g. white) and region of provenience (e.g. Liguria).  

  • 27. HOW CAN I HAVE INFORMATION ABOUT MY RESTAURANT’S SALES?

    On the App, in the “STATISTIC” section you can find information about:

    • Sales/turnover 
    • Sold bottles
    • Average profit margin 
    • Average mark-up 
    Clicking on “Detail” you can check in the specific how many bottles have been sold of every type of wine and your turnover. You can decide whether to select a window of time of your choice modifying the fields “STATISTICS FROM….TO…” and clicking on “APPLY”.

  • DELIVERIES

  • 28. HOW OFTEN ARE DELIVERIES MADE?

    Deliveries are managed by The Winesider depending on how many bottles the restaurant sells, the quantity of bottles that the restaurant has in stock and the stock target set between the clients and The Winesider consultant. Every week the platform evaluates your weekly requirements and delivers the client the number of bottles needed.

  • 29. COME FACCIO A SAPERE SE HO DEGLI ORDINI IN ARRIVO?

    Through the “Replenish” page, you can track your orders and check if there are any in preparation, ready for delivery or orders that will be delivered soon. If an order’s status is one of the aforementioned, you can follow it on this page and you can check your order’s details clicking on: “check order status”. If your order has been delivered, please follow the below steps to confirm delivery:

    • Click CONFIRM “order received” if you have nothing to report
    • Click CONFIRM and “not checked”: if you want to report an issue about the delivery process.

  • 30. WHAT SHOULD I DO WHEN THE GOODS ARRIVE TO MY RESTAURANT?

    When the order is delivered to your restaurant, remember to sign the invoice “not checked” and to check as soon as possible that the quantity of bottles matches what is indicated in the shipping document (packing slip). If you detect any mistakes or the presence of broken bottles, please contact us on customerservice@thewinesider.com not later than 24 hours from the delivery or text us on Whatsapp on+39 349 5767087. When the order is delivered, confirm it clicking on:

    • Click  CONFIRM“order received” if you have nothing to report
    • Click CONFIRM and “not checked”: if you want to report an issue about the delivery process.

  • 31. HOW ARE POSSIBLE BREAKAGE OR NON-CONFORMITY IN DELIVERIES MANAGED?

  • 32. HOW ARE THE BOTTLES WITH ORGANOLEPTIC (FOR EXAMPLE TASTE OF CORK) MANAGED?

    If a host returns a faulty bottle (for example it tastes like cork), report it not later than 24 hours from the opening, sending us a picture of both the label and the wine cork. It is essential that the batch number of both the label and the cork are clearly readable. Keep the bottle until The Winesider contacts you. Once the problems have been detected, we will send you a new bottle to replace the faulty one.

  • 33. WHAT HAPPENS IF THE WINESIDER RUNS OUT OF A PARTICULAR WINE?

    If The Winesider runs out of a particular kind of wine, the customer has two different choices:

    • If the following vintage is available, The Winesider will email you and automatically send the wine to you
    • If the following vintage is not available yet, The Winesider will email you notifying the exhaustion of the product and, if requested, a temporary solution will be offered.
